Company Settings

Company Settings provide essential configuration options for your Training Manager system. These settings control basic organizational information, display formats, and regional preferences that affect how data is presented throughout the system.

Overview

Company Settings are located within the System Overview section and allow administrators to configure core organizational details that are used across reports, displays, and system communications. These settings help customize the system to match your organization's specific needs and regional requirements.

Accessing Company Settings

  1. Navigate to Options: Click the Options button from the main navigation menu
  2. Locate Company Settings: Find the "Company Settings" panel on the System Overview page

Available Settings

Company Name

  • Purpose: Identifies your organization throughout the system
  • Usage: Appears on reports, email communications, and system displays
  • Status: Read-only (cannot be modified by users)
  • Note: This field is set during initial system setup

Billing Email

  • Purpose: Primary contact email for billing and account-related communications
  • Usage: Used for subscription notifications, billing updates, and administrative communications
  • Format: Must be a valid email address
  • Access: Can be updated by System Administrators

Default Time Zone

  • Purpose: Sets the system-wide default time zone for displaying dates and times
  • Usage: Affects how timestamps are displayed in reports, training sessions, and audit trails
  • Selection: Choose from a comprehensive list of global time zones
  • Individual Override: Users can set personal time zone preferences that override this default
  • Impact: New users inherit this time zone setting unless they specify otherwise

Currency Symbol

  • Purpose: Defines the currency symbol used throughout the system
  • Usage: Appears in cost fields, budget reports, and financial displays

Personnel Name Format

  • Purpose: Controls how employee names are displayed throughout the system
  • Usage: Affects name displays in lists, reports, dropdowns, and search results
  • Options: Various format combinations available
  • Common Formats:
    • "Last, First" (Smith, John)
    • "First Last" (John Smith)
    • "Last, First (ID)" (Smith, John (12345))
  • Impact: Applies to personnel displays system-wide

Best Practices

Initial Configuration

  • Time Zone: Set to the location where most users are based
  • Currency: Match your organization's primary operating currency
  • Name Format: Choose a format that provides clear identification while remaining concise. Include personnel number if multiple personnel have identical names.
  • Billing Email: Use a group email address that multiple administrators can access

Impact of Changes

Time Zone Changes

  • Date/Time Displays: All new date/time displays use the updated time zone
  • User Impact: Users may see different time displays until they refresh their sessions
  • Reports: Generated reports will use the new default time zone

Currency Symbol Changes

  • Immediate Effect: Currency displays update immediately throughout the system
  • Reports: All financial reports will show the new currency symbol

Personnel Name Format Changes

  • System-Wide Impact: All name displays update to use the new format

Changes to Company Settings affect all users and all data displays throughout the system. Communicate updates to users before implementation.
